I. Introduction

1. General Information

Co-Citer lets you create collections of texts from the Internet. It automatically captures selected text, its title, Internet address where the text was found, and the date the text is added to the collection. You can also assign comments and categories to the texts, organize them, send by e-mail, export/import, search the collection, sort, print, and more.

Once a text selection has been grabbed, you can:

  • Create and manage new collections;
  • Create and manage folders for organizing texts;
  • Add comments about the grabbed text;
  • Sort citations according to various criteria;
  • Follow the link associated with the grabbed text just by clicking on it;
  • Import/export collections to work with them at other computers, to split a large collection into smaller ones, or to combine small collections into a larger one;
  • Publish the collection as a Web page;
  • Send the collection by e-mail;
  • Control how the grabbed texts and information are displayed;
  • Search the collection;
  • Print texts from a collection;
  • Delete grabbed texts from the collection.

You can manage the collection off-line. However, to follow a link or view a page from which you have grabbed a text or the page to which the text refers, you will need an Internet connection.

2. Software Requirements and Limitations

To use Cogitum Co-Citer, you must be running Internet Explorer 5.0 or higher as your active browser.
The program allows you to work with languages supported by your operating system and Microsoft Internet Explorer. You can view and enter all symbols supported by the browser, and you can sort and search information in any language used in the collection. There are no specific limitations on the number of citations but large collections (more than 100 citations) may require substantially longer processing times, depending on your computer processor and memory. There are also no specific limitations on the number of folders you can create. To speed up the processing time for a large collection, it is recommended that you divide the collection into folders and that each folder contain fewer than 50 citations.

3. Terminology

Cogitum Co-Citer allows you to work with several collections of the texts.

Within the collection you can organize grabbed texts and text-related information into groups called folders, according to your own criteria. Folders can be exported to another collection as well as to HTML, sent by e-mail, renamed, moved, or deleted.

Folders are organized as a hierarchical “tree.” That means you can create folders with unlimited numbers of subfolders. The top folder of the tree is called root folder. Only one root folder can be created. By default, the root folder called My Citations and the subfolder called Default Collection are created. Initially they do not contain any information.

The grabbed text and the text-related information comprise the citation. Each piece of information within a citation (such as Title, Internet address, Comments) is called field.

II. Using Cogitum Co-Citer

1. Grabbing a Text

When you install Cogitum Co-Citer at your computer, the default collection does not contain any citations. Basically, to add a text to the database, you have to “grab” it:

  1. Launch Microsoft Internet Explorer 5.0 or higher, or switch to the Microsoft Internet Explorer window.
  2. Select the text you want to grab:
    1. Press the left mouse button in the beginning of the text you want to grab.
    2. Move the mouse pointer to the end of the text you want to grab.
    3. Release the left mouse button.

  3. Position the mouse pointer on the selected text and click the right mouse button.



  4. Select the Grab Selected Text… option from the pop-up menu. The Grab Text window will appear. It contains the following fields:



    File. The file containing a collection where you want to store the selected text. By default it is C:\Co-Citer.c-c. To select another file for storing the selected text from the recently used files, click the downward arrow button and select a file in the drop-down list. To select another file click the Browse… button, select a file where you want to store the selected text, and click Open.

    Save in. The folder where you want to store the selected text within the collection. To create a new folder:

    1. Select a “parent” folder into which you want to create the new subfolder.
    2. Click the New… button.
    3. Enter the name of the folder in the New Folder window.
    4. Click OK.

    Title. The name of the text. It is captured automatically but you can always change it.

    From. The Internet address where you found the text. It is captured automatically but you can always change it.

    Text. The selected text itself. You can also edit it.

    Comment. User-defined comments. This field is empty by default. There are no limitations on the length of this field value.
  5. Click OK.

At any time you can change any information entered in the Grab Image window.

2. Launching the Cogitum Co-Citer Collection

You can launch the Co-Citer collection in any of three ways:

I.

  1. Press the Windows Start button.
  2. Select Programs -> Cogitum Co-Citer.

II.
  1. Launch Microsoft Internet Explorer 5.0 or higher, or switch to the Microsoft Internet Explorer window.
  2. Click the Cogitum Co-Citer button on the toolbar.

III.
  1. Launch Microsoft Internet Explorer 5.0 or higher or switch to the Microsoft Internet Explorer window.
  2. Select Tools -> Cogitum Co-Citer.

3. Working with Collections

Creating a New Collection

To create a new collection:

  1. Click the Open File button. The Open File window will appear.
  2. Enter the name of the new collection in the File edit box.
  3. Click Open.
Opening Collections

To open a collection:

  1. Click the Open File button. The Open File window will appear.
    If you want to launch one of the collections you have recently worked with, click the downward arrow button. Then select a collection from the drop-down list.
  2. Select the file that contains the collection you want to open.
  3. Click OK.

Saving Collections

Once you grabbed a text it is automatically saved in the collection, so you do not need to save the collection.

Displaying Options

Co-Citer allows you to define how the citations in the collection are displayed. The program provides the following features:

  • Hide/show particular fields
  • Hide/show folders tree
  • Expand/collapse grabbed text

To hide/show particular fields:

  1. Click the Visibility Options button. The Visibility options window will appear.



  2. Check the fields you want to show. By default, all fields are shown.
  3. Click OK.

To hide the folders tree, click the Hide Folders Tree Pane button. This will hide the folders tree and will change the icon on the button. To show the folders tree, click this button again.

By default, if the grabbed text is too long, only the first four lines will be shown. To view the rest of the text, use the scrollbar in the “Text” field. To view the whole text in the “Text” field (without using the scrollbar), click the Expand Texts button. To return to the default mode, click the Collapse Texts button.

4. Working with Folders

Image Co-Tracker allows you to organize records within the collection in specified groups called folders. For example, you might organize your citations by author, type, or source. You can define as many folders as you want.

Creating a New Folder

To create a new folder:

  1. Select a “parent” folder into which you want to create the new subfolder.
  2. Click the New Folder button.
  3. Enter the name of the folder in the New Folder window.
  4. Click OK.


Renaming the Existing Folder

To rename the existing folder:

  1. Select the folder you want to rename in the folders tree.
  2. Click on the Rename Folder button.
  3. Enter a new name in the Rename Folder window.
  4. Click OK.


Moving a Folder

To move a folder:

  1. Select a folder you want to move in the folders tree.
  2. Click the Move Folder button.
  3. Select a folder you want to move a folder into.
  4. Click OK.


Deleting a Folder

To delete a folder:

  1. Select the folder you want to delete in the folders tree.
  2. Click the Delete Folder button.
  3. Click OK in the confirmation window.

Note: Deleting a folder will also delete all the subfolders and citations the folder contains. If you want to keep these texts, move them to a different folder before deleting the old one!

Export is an operation for transferring the selected folder or the whole collection to another existing collection or to a newly created one.

To export a folder:

  1. Select a folder you want to export in the folders tree. If you want to export the whole collection, select the root folder (the top folder of the tree). Please note that exporting a folder will also export all the subfolders it contains.
  2. Click the Export to File button. The Export window will appear.
  3. Select a collection where you want to export the folder. If you want to export the folder into a newly created collection, enter its name in the Filename edit box.
  4. Click Open. If you entered a name for the new collection, click Yes in the confirmation window.
  5. Select a folder within the collection where you want to export the folder.
  6. Click OK.

Import is an operation for transfering the selected folder or the whole collection from another collection to the current one.

To import a folder:

  1. Select a folder where you want to place an imported collection.
  2. Click the Import from File button. Import window will appear.
  3. Select a collection you want to import.
  4. Click Open. The Select window will appear.
  5. Select a folder you want to import from the collection. Please note that importing a folder will also import all the subfolders it contains.
  6. Click OK.


Exporting a Folder as a Web Page p align="justify">Cogitum Co-Citer allows you to export both a particular folder and the whole collection into an HTML file, which you can then publish at your Web site. Exporting a folder as a Web page will also export all non-empty subfolders it contains. In other words, if you have two folders containing citations and one folder that do not contain any citations, only the first two folders will be exported to the HTML file. The citations in the HTML file will be presented in the same order they were sorted in your collection.

HTML file consists of two parts: contents and citations. The contents section has all the non-empty subfolders an exported folder includes. Each folder containing at least 1 citation will be shown as a hyperlink, i.e. you can view the citations by clicking the folder name. If a folder contains subfolders but does not contain any citations, it will be shown as an ordinary text.

Please note, the “Date” field will not be converted into HTML file and, consequently, will not appear on the Web page. Additionally, the Internet location where a citation has been grabbed will be available by clicking Source....



To convert a folder into an HTML file:

  1. Select the folder you want to convert in the folders tree. If you want to convert the whole collection, select the root folder (the top folder of the tree).
  2. Click the Export as HTML File button.
  3. Choose the location of the file and enter the name of the file.
  4. Click Save. The Visibility Options window will appear.
  5. Check the fields you want to show in the HTML file.
  6. Click OK.


Send a Folder by E-mail

Co-Citer allows you to send both a particular folder (with its subfolders) and the whole collection by e-mail. To send a folder by e-mail:

  1. Select a folder you want to send by e-mail in the folders tree. If you want to send the whole collection, select the root folder (the top folder of the tree). Please note that sending a folder will also send all the subfolders it contains.
  2. Click the Send by E-mail button. The default mail program will be launched. If you want to select another mail program, click on the downward arrow button. Co-Citer will automatically attach the selected folder to your message.
  3. Fill in the rest of your message and send it.

When you receive a collection as an attachment by e-mail you can begin to work in one of two ways: either save the attachment according to your mail program instructions, or double click on the attached file (this will automatically launch Co-Citer).

If you want to change the default e-mail program try the following:

  1. Launch Microsoft Internet Explorer or switch to its window.
  2. Select Tools -> Internet Options.
  3. Open the Programs page.
  4. Select another e-mail program from the E-mail drop down list.
  5. Click OK.

5. Working with Records


Editing Citations

Co-Citer allows you to edit all fields except the “Date” field.
To edit a field:

  1. Click the Pencil icon next to the field you want to edit.
  2. Enter a new value in the edit box. Use Ctrl-Enter or Shift-Enter to insert a line break.
  3. Press Enter to confirm changes or Esc to cancel.


Following the Link

Co-Citer captures not only the text but also the Internet address where it was found. To follow the link, simply click on the Internet address in the “From” field.

Moving Citations to Another Folder

Co-Citer allows you to move a particular citation or group of citation to another folder.

To move an individual citation:

  1. Click the Move Citation button next to the “Title” field of the citation you want to move. The Select folder window will appear.



  2. Select the folder where you want to move the citation. If you want to store the citation both in the source folder and in the destination folder, check the “Make Copy” checkbox. Otherwise the citation will be removed from the current folder.

To move a group of citations:

  1. Select the group of citations you want to move to another folder:
    1. Position the mouse pointer at any place of the first citation you want to move.
    2. Press the left mouse button and move the pointer to any place of the last citation you want to move.
    3. Release the left mouse button.

  2. Click the Move Citations button. The Select Folder window will appear.
  3. Select the folder where you want to move the selected citations. If you want to store the selected citations both in the source folder and in the destination folder, check the “Make Copy” checkbox. Otherwise the selected citations will be removed from the current folder.


Expanding/Collapsing a Text

By default if the grabbed text is too long, only the first four lines will be shown. To view the rest of the text, use the scrollbar in the "Text" field. To view the whole text without using the scrollbar, click the Expand Text icon. This will show you the whole text and will change the icon. To return to the default mode, click the icon again.

Searching Citations

To find information in your collection:

  1. Select the folder you want to search in the folders tree. If you are not sure which folder contains the desired information, click the Turn Off Filtering According to Folders button. This will show you all the citations you have in the collection without division into folders.
  2. Click the Search button.
  3. Enter the text you wish to search for:
    • Match whole word only. Check this field if you want to find whole words only (for example, if you are looking for the word “ground,” the program will not consider the word “groundhog” a match).
    • Match case. Check this field if you want the search to be case sensitive (e.g., a search on “dog” will not consider “DOG” a match).
    • Direction. Choose the direction of search relative to the current cursor location.
  4. Press the Find Next button to begin the search.


Sorting Citations

Co-Citer allows you to sort citations according to various criteria: by title, by date, by comment, by text, and by Internet location. You can also select the method of sorting: ascending (alphabetically from A to Z) or descending (reverse alphabetical order).

To sort citations click the Sort button and select an appropriate option from the drop-down list.

To view all the citations the collection contains, click the Turn Off Filtering According to Folders button. To view the citations of the current folder only, click on the button again.

Printing Citations

Co-Citer allows you to print all the citation s from the current folder, as well as selected citations only. You can also define whether the folders tree will be printed. If you are printing both citations and the folders tree, the tree will be printed with all subfolders visible.

To print all citation s in a folder without printing the folders tree:

  1. Select the folder you want to print in the folders tree.
  2. Click the Print button. The Print window will appear.
  3. Click OK.

To print all citations in a folder, along with the folders tree:

  1. Select the folder you want to grab in the folders tree.
  2. Click the Print button. The Print window will appear.
  3. Select the All frames Individually radio box in Print frames.
  4. Click OK.

To print selected citations only:

  1. Select the folder containing the citations you want to print in the folders tree.
  2. Select the texts you want to print:
    1. Position the mouse pointer at any place of the first citation you want to print.
    2. Press the left mouse button and move the pointer to any place of the last citation you want to print.
    3. Release the left mouse button

  3. Click the Print button. The Print window will appear.
  4. Select the Selection radio button in Print range.
  5. Click OK.


Deleting Citations

Co-Citer allows you to delete individual citations as well as group of citations and the whole folder.

To delete a particular citation:

  1. Click the Delete the Citation icon next to the “Title” field of the citation you want to delete.
  2. Click OK in the confirmation window.

To delete a group of citations:

  1. Select a group of citations you want to delete:
    1. Position the mouse pointer at any place of the first citation you want to delete.
    2. Press the left mouse button and move the pointer to any place of the last citation you want to delete.
    3. Release the left mouse button.

  2. Click the Delete Citations button.
  3. Click OK in the confirmation window.

Co-Citer also allows you to delete a folder and all the citations it contains. To delete a folder:

  1. Click the Delete Folder button.
  2. Click OK in the confirmation window.

Note: Deleted citations cannot be restored!
